Privacy Policy
Effective September 4, 2026. What we collect, why, who sees it, and your choices.
1. What We Collect
- Account details: name, email, password (stored only as a secure hash), and WhatsApp number if you give it.
- Coaching registrations: sailor name, date of birth, gender, nationality, class, sail number, weight, sailing level, club, coach, goals, allergies, medications, dietary needs, emergency contact, travel and accommodation preferences.
- Regatta entries: sailor name, email, mobile, date of birth, gender, sail number, boat name, club, country, emergency contact, parent or guardian details, medical notes, answers to the Host’s extra questions, and the name and time of your waiver agreement.
- Payments: amounts, dates, payment method, and Stripe transaction references. We never see or store card numbers. Card details are entered on Stripe’s secure checkout page.
- Host accounts: club name, contact email, uploaded images and documents, notice board text, results, and payout records.
- Technical: standard server logs (IP address, browser type, pages requested) used for security and to keep the site running.
2. How We Use It
- To run coaching events and regattas: confirm entries, build entry lists and results, contact you about the event, and coordinate logistics.
- To take payments and pay out Host clubs, and to keep accurate financial records.
- To send transactional email: verification codes, entry and payment confirmations, cancellations, and notices to Hosts about new entries. We do not send marketing email without your consent.
- To keep sailors safe: emergency contact and medical information is used only by coaches and event organizers for that purpose.
3. What Is Public
For a regatta, the public entry list and results show sailor name, class, sail number, boat name, club or organization, and finish positions. Nothing else you enter is public. Completed regattas and their results remain online as an archive. Coaching registrations are never public.
4. Who We Share It With
- Hosts: when you enter a regatta, the Host club sees your full entry, including contact, emergency, parent, medical, and waiver details, to run the event safely. Hosts agree to use it only for that regatta.
- Sail Better coaches and administrators: to deliver coaching and operate the platform.
- Service providers: Stripe (payments), Resend (email delivery), and Railway (hosting and database). Each processes data only to provide its service to us.
- We do not sell personal information, and we do not share it with advertisers.
- We may disclose information where required by law or to protect the safety of sailors.
5. Children
Most sailors on the platform are under 18. Their information is provided by, and accounts are held by, a parent or guardian. Parents and guardians can review or change a sailor’s information by contacting us or the Host.
6. Retention
Registration, entry, and payment records are kept for as long as needed for the event, the results archive, and our financial and legal obligations (generally seven years for payment records). Medical notes and emergency contacts are removed from regatta entries on request after the event. You can ask us to delete your account at any time; entries already published in results are kept in the archive with name, class, sail number, and club only.
7. Security
Data is transmitted over HTTPS and stored in an access-controlled database. Passwords are hashed. Host accounts can see only the regattas they manage. No system is perfectly secure; if we learn of a breach affecting your data we will tell you.
8. Your Choices
You can view your registrations in your account, ask us to correct or delete your information, and ask what information we hold about you. Email niels@wesailbetter.com. See also our Terms of Service.
9. Changes
We may update this policy. The effective date at the top changes when we do.
